Position Summary

As part of the Sales Team this position seeks to provide support for the National Sales Representative, including market updates, customer confirmations, pricing structures, NOCs and Accounts Receivables. 

The Sales Coordinator seeks to provide the best customer service by working collaboratively with our Supply Chain team and giving customers clear and concise information. The Wholesum Sales Coordinator will generate customer satisfaction and performance.

Primary Responsibilities

The Sales Coordinator is responsible for supporting daily sales operations through accurate data entry, order management, and customer communication.

Key duties include:

  • Timely and accurate entry of manifests and sales orders in ERP systems.

  • Sending daily sales confirmations and updating prior-day orders.

  • Managing orders through customer and internal platforms (e.g., Itrade, EDI, Procurant, Retail Link).

  • Monitoring truck capacity and identifying open market sales opportunities.

  • Maintaining clean and accurate sales orders, complaints (NOCs), and credit memos.

In the administrative capacity, the coordinator:

  • Monitors accounts receivable and ensures timely customer payments.

  • Gathers and organizes market intelligence for internal reporting.

  • Manages Notice of Complaints (NOCs) and Price After Sales (PAS) adjustments.

  • Provides coverage for Sales Representatives when needed.

  • Understands key compliance issues, such as the Tomato Suspension Agreement.

Additionally, the role requires:

  • Regular participation in weekly sales and staff meetings.

  • Strong collaboration with Supply Chain, AR, Quality Control, and Logistics.

  • Clear communication with assistant buyers, customer coordinators, and AP contacts to maintain strong external relationships.

Key Metrics: Accuracy of data, order management efficiency, and resolution of payment discrepancies.

Other duties and responsibilities may be assigned. 

Minimum Experience/Qualifications

  • 1-2 years of experience in administration related to the produce industry. 
  • Computer skills in MS Office. 
  • Experience with ERP systems. 
  • Strong organizational skills, attention to detail, and accuracy. 
  • Bachelor’s degree preferred. 
  • Ability to work effectively in a fast paced and challenging environment and ability to multitask. 
  • Sense of ownership and pride in their performance and its impact on the success of the company. 
  • Critical thinker and problem-solving skills. 
  • Team player and time management skills with a strong work ethic. 
  • High ability to write, speak and comprehend in English and Spanish. 
  • Ability to communicate effectively with peers.
